At RentalLogicsKerala, we understand that plans can change. This Refund and Cancellation Policy outlines the terms and conditions for canceling your booking and requesting refunds for our bike rental services.
We strive to be fair and transparent in our policies while ensuring the sustainability of our business operations. Please read this policy carefully before making a booking.
Cancellation Policy
Cancellation Timeframes
More than 72 Hours Before Rental
100% Refund - Full refund of the booking amount will be processed to your original payment method within 5-7 business days.
48-72 Hours Before Rental
50% Refund - 50% of the booking amount will be refunded. The remaining 50% will be retained as a cancellation fee.
24-48 Hours Before Rental
25% Refund - Only 25% of the booking amount will be refunded. 75% will be retained as a cancellation fee.
Less than 24 Hours Before Rental
No Refund - Cancellations made within 24 hours of the rental start time are non-refundable.
No-Show
No Refund - If you do not show up at the scheduled pickup time without prior cancellation, the entire booking amount will be forfeited.
How to Cancel Your Booking
To cancel your booking, please follow these steps:
- Log in to your account on our website or mobile app
- Navigate to "My Bookings" section
- Select the booking you wish to cancel
- Click "Cancel Booking" button
- Confirm cancellation and receive confirmation email

Refund Processing
Refund Timeline
- Refunds are processed within 5-7 business days from the date of cancellation
- The refund will be credited to your original payment method
- For credit/debit card payments, please allow an additional 3-5 business days for the amount to reflect in your account
- For UPI/digital wallet payments, refunds are typically processed faster (1-3 business days)
Refund Method
All refunds will be processed through the same payment method used for the original booking. We do not offer refunds via alternative payment methods or cash.
Special Circumstances
Weather-Related Cancellations
In case of extreme weather conditions (heavy rain, storms, floods, etc.) that make riding unsafe, we may offer:
- Full refund if we cancel the rental
- Option to reschedule at no additional charge
- 50% refund if you choose to cancel due to weather concerns
Medical Emergencies
If you need to cancel due to a medical emergency (hospitalization, serious illness, etc.), we may offer a full refund upon submission of valid medical documentation. Please contact our customer support team immediately in such cases.
Vehicle Issues
If we are unable to provide the booked vehicle or a suitable alternative due to mechanical issues or other reasons on our end, you will receive a full refund (100%) immediately.
Booking Modifications
You may modify your booking (dates, times, or bike model) subject to availability:
- More than 48 hours before: Free modification
- 24-48 hours before: ₹200 modification fee
- Less than 24 hours before: ₹500 modification fee
Modifications are subject to vehicle availability and may result in price adjustments based on the new booking details.
Security Deposit & Damage Policy
Security Deposit
A refundable security deposit is required at the time of bike pickup. The deposit will be refunded within 3-5 business days after the bike is returned in good condition, minus any deductions for:
- Physical damage to the vehicle
- Missing accessories or parts
- Traffic violations or fines incurred during rental period
- Late return fees
- Fuel charges (if not returned with full tank)
Damage Assessment
The vehicle will be inspected before and after rental. Any damages will be documented and photographed. Repair costs will be deducted from the security deposit, and you will receive a detailed invoice.
Non-Refundable Items
The following are non-refundable under all circumstances:
- Processing fees and payment gateway charges
- Add-on services that have already been provided (helmets, accessories, etc.)
- Insurance premiums
- Promotional discounts or coupon values
Dispute Resolution
If you have any concerns or disputes regarding cancellations or refunds:
- Contact our customer support team within 7 days of the incident
- Provide all relevant booking details and supporting documentation
- Our team will review your case and respond within 48-72 hours
- If unresolved, you may escalate to our senior management team
Important Notes
- All cancellation requests must be made through official channels (website, app, or verified customer support)
- Refunds are not applicable for bookings that have already commenced
- We reserve the right to modify this policy with prior notice
- Any disputes are subject to Kerala jurisdiction
- This policy applies to all bookings made after February 1, 2025
